Athlete means any individual enrolled in or applying to any development programme, training initiative, talent identification camp, or activity offered by or associated with the Foundation, including participants in PSF Aarambh, PSF Nirmaan, PSF Margdarshan, and PSF Pathways.

4.3 Communication and Support To respond to Your enquiries and send important updates about programmes, events, schedule changes, partnership developments, and administrative matters. This includes communication via email, phone, SMS, and WhatsApp.

4.4 Safety and Welfare of Athletes To ensure the physical safety and welfare of all athletes and participants, including the use of medical and health information to adapt development programmes appropriately and to respond to emergencies. Medical information is treated as Sensitive Personal Data and handled with the highest level of care.

4.5 Competition and Representation To register athletes for national and international competitions on their behalf, including submission of required personal and identity information to governing bodies such as India Taekwondo, the Taekwondo Federation of India, World Taekwondo, and relevant event organisers.

4.6 Marketing and Promotional Activity With Your explicit consent, to use photographs, videos, achievements, and testimonials featuring You or Your child for promotional purposes including on our Website, social media channels, Field Notes, press releases, and institutional communications. You may withdraw this consent at any time by contacting Us in writing.

4.7 Legal and Regulatory Compliance To comply with applicable Indian laws including the Companies Act, 2013, the Income Tax Act, the Foreign Contribution (Regulation) Act where applicable, court orders, regulatory requirements, and legitimate requests from law enforcement or government authorities.

4.8 Institutional Reporting To prepare annual impact reports, CSR utilisation certificates, programme outcome documentation, and other institutional reports required by donors, CSR partners, government bodies, and accreditation authorities.

4.9 Improvement of Services To analyse how our Website and programmes are used, identify areas for improvement, and enhance the quality of development pathways and the overall athlete and stakeholder experience at the Foundation.

5. How We Share Your Information

5.1 Sports Governing Bodies We may share athlete information including name, date of birth, weight category, identity documents, and photographs with India Taekwondo, the Taekwondo Federation of India, World Taekwondo, and event organisers for the sole purpose of competition registration and athlete credentialing. This sharing is necessary for athlete participation and is done with the athlete’s or parent’s knowledge.

5.2 Government and Regulatory Bodies We may share organisational and programme information with the Ministry of Corporate Affairs, Income Tax authorities, NITI Aayog, and other government bodies as required for compliance with our statutory registrations and obligations, including under our 12A, 80G, CSR-1, and NGO Darpan registrations.

5.3 CSR Partners and Donors We share programme impact data, fund utilisation reports, and outcome documentation with CSR partners and donors for the purposes of accountability and reporting. Individual athlete personal data is not shared with donors without explicit consent.

5.4 Service Providers We may share limited information with trusted third-party service providers who assist Us in operating our Website, processing donations, issuing receipts, or delivering communications. These providers are contractually required to protect Your data and are not permitted to use it for any purpose other than providing services to the Foundation.

5.6 Media and Press Photographs and videos of athletes and events may be shared with media organisations and press contacts in connection with programme outcomes, competition results, and Foundation milestones. We will always seek prior consent from athletes and parents before sharing identifiable images with external media outlets.

5.7 With Your Consent We may share Your personal information for any other purpose with Your explicit consent, which may be withdrawn at any time.

6. Children’s Privacy and Parental Consent

Peace Sports Foundation works with athletes from the age of eight upwards, and the welfare of young participants is a foundational commitment of the organisation.

For athletes under the age of 18, all application forms, consent documents, and agreements must be completed and signed by a parent or legal guardian. By submitting information about a minor athlete, the parent or guardian represents that they have the authority to do so and consents to the collection and use of the minor’s information as described in this Privacy Policy.

We do not knowingly collect personal information directly from children under the age of 13 without verifiable parental consent. If We become aware that We have inadvertently collected personal data from a child under 13 without appropriate consent, We will take immediate steps to delete that information.

By enrolling in a Peace Sports Foundation programme, You or Your parent or guardian acknowledge and consent to the Foundation’s use of photographs and videos featuring You or Your child for the purposes described above, unless You have explicitly withdrawn this consent in writing.

Athletes or parents who do not wish to have their images used for marketing or public communications must notify Us in writing at the time of enrolment. This does not affect Your right to enrol in or participate in any Foundation programme.

You may withdraw media consent at any time by contacting Us in writing at info@peacesports.foundation. Withdrawal of consent will apply to future use only and does not require Us to remove content already published in good faith prior to the withdrawal request.

8. Donation and Financial Data

All donation transactions processed through the Foundation’s website or other channels are handled through secure, compliant payment systems. Financial data including payment card details is not stored by the Foundation and is handled solely by our payment processing partners in accordance with applicable security standards.

Official 80G tax receipts are issued to all eligible donors. Financial records related to donations and fund utilisation are maintained in accordance with the Foundation’s statutory obligations under the Income Tax Act and the Companies Act, 2013, and are subject to annual audit.

Upon written request, We will delete Your personal information from our active records to the extent permitted by law.
